The EventBeacon Athletes Tab allows Event Administrators to import, organize and manage rosters for their events. After the initial import, athlete information can be updated or changed as needed. As an Event Administrator, you are given the option to either import your complete roster or add athletes individually.
This article will detail how to use the Athletes tab to import event rosters and manage any updates leading up to and on-site at the event.
Importing Your Roster
Once you have gathered the following required information for each athlete participating in your event, you are able to upload all athlete data via a CSV.
Required Fields:
-
Athlete First Name
-
Athlete Last Name
-
Email Address
-
Graduation Year
-
Gender
Steps To Follow:
- Navigate to the empty athletes tab. The CSV is provided below this option and can also be found here.
- Simply download the CSV template
- Fill out the required athlete data
- Toggle to the "Manage Athletes" tab. Select "Import Roster."
After the initial upload you are able to import additional athletes, update athlete information, and remove athletes as needed. The steps for each of these are outlined in further detail below.
Adding Athletes Individually
In addition to importing an entire event roster, you are able to manually add student-athletes. To do so, click the blue “Manage Athletes” drop down menu in the upper right corner of the dashboard and select “Add Athlete”. This will take you to a form where you can fill out the athlete’s information, as shown below:
Updating Athlete Information
Student-athlete information (Team, Jersey, Position) can be edited so that you can stay on top of any last-minute changes that happen before or on-site at an event. These edits will be visible to coaches on the EventBeacon app, keeping them in the loop. To do this, click the pencil and paper icon to the right of the player you want to edit.
There will be some scenarios where data does not need to be edited, but removed entirely. Instead of manually removing data from hundreds of athletes, you are able to select multiple athletes at a time and erase the data for that column by clicking the white box to the left of each athletes’ name. Once you have selected the correct athletes, you can choose to remove their team, jersey, and/or position by selecting the "Actions" dropdown.
If you do choose to delete an athlete entirely, they will simply be removed from the event roster. There will be no changes to their overall profile.
Any other athlete information included in the CSV such as the athletes name, email, and grad year cannot be edited after the initial upload. This information is used to fill out the athlete's SportsRecruits profile. Please make sure to check and verify all athlete information before submitting your roster.
Bulk Updating Athlete Information
Athlete information including jersey numbers, team assignments, and positions can be bulk updated through the admin system. To bulk update this information all you need to do is download the already uploaded CSV, edit any of the information you would like to update and re-import the CSV. You can download the available CSV by choosing the "Download CSV" option in the upper right hand corner of the dashboard.
Once all edits have been made to the CSV, you can choose the blue "Manage Athletes" tab and "Update Athletes" to download your updated athlete data.

Why EventBeacon?
EventBeacon provides a superior event experience for both coaches and event administrators alike, while empowering student-athletes to take control of their recruiting experience. With access to all relevant student-athlete recruiting information in the app, coaches are able to efficiently and effectively evaluate players on-site. Similarly, event administrators are able to utilize the software to generate a coaches book in seconds, while also being able to make any roster or event changes immediately visible to coaches. The more efficient the coach’s experience, the more exposure for athletes, and the more exposure for athletes, the more successful an event.
