The EventBeacon Coaches Tab allows Event Administrators to import, organize and manage the coaching staff for their events. The coaches tab provides a point of contact for every single team attending. After the initial import, all coach information can be updated or changed as needed. As an Event Administrator you are given the option to either import all coach information at once or add a coach individually.
This article will detail how to use the Coaches tab to import staff roles and contact information along with managing any updates leading up to and on-site at the event.
Importing Coach Information
Once you have gathered the following required information for each coach at your event, you are able to upload all coach data via a CSV.
Required Fields:

- Role/Position/Title

Team Assignment
When you first navigate to the empty coaches tab, you are given the option to "Create" coaches individually or navigate to the blue "Manage Coaches" tab and "Upload Coaches." The CSV is provided below this option and can also be found here.
You simply have to download the CSV template, fill out the required coach data and upload!
Coaches/Directors are often supposed to be listed for more than one team attending the event. To assign one coach to multiple teams, you can:

List the coach in a single row & bar-separate the team names

ex: Lacrosse Elite 2021|Lacrosse Elite 2022

List the coach multiple times in different rows, each row having a different team name

For two coaches to be considered the same, they must have an identical first name, last name & email

Adding Coaches Individually
In addition to importing an entire coaches list, you are able to manually add coaches. To do so, click the blue “Manage Coaches” drop down menu in the upper right corner of the dashboard and select “Add Coach”. This will take you to a form where you can fill out the coach’s information, as shown below:
Updating Coach Information
Coach information (Name, Contact Information, Teams Assigned) can be edited so that you can stay on top of any last-minute changes that happen before or on-site at an event. These edits will be visible to coaches on the EventBeacon app, keeping them in the loop. To do this, click the pencil and paper icon to the right of the coach you want to edit.
There will be some scenarios where data does not need to be edited, but removed entirely. You are able to select multiple coaches at a time and erase the data for that column by clicking the white box to the left of each coaches’ name. Once you have selected the correct coaches, you can choose to remove them by clicking on the trash icon or selecting the "Actions" drop down menu as shown below:
Bulk Updating Coach Information
Coach information including names, contact information, and team assignments can be bulk updated through the admin system. To bulk update this information all you need to do is download the already uploaded CSV, edit any of the information you would like to update and re-import the CSV (leaving the "id" column the same). You can download the available CSV by choosing the "Download CSV" option in the upper right hand corner of the dashboard.
Once all edits have been made to the CSV, you can choose "Manage Coaches" and "Upload Coaches" to re-import your edited CSV.
Please note Column H of the CSV template export labeled "visibleInBooks". This column denotes whether a coach is visible in the printed coaches book.
- If you want a coach to be visible in the book, put "True"
- If you do NOT want a coach to be visible in the book, put "False"
