The EventBeacon Schedule Tab allows Event Administrators to import, organize and manage the schedule for their events. After the initial import, schedule information can be updated or changed as needed. As an Event Administrator you are given the option to either import the entire schedule at once or add games individually.
This article will detail how to use the Schedule tab to import your event schedule and manage any updates leading up to and on-site at the event.
Uploading Your Event Schedule
Once you have gathered the following required information, you are able to upload a CSV of your event schedule to the Admin System.
Required Fields:
- Field
-
Time of Game
-
Date of Game
-
Team One
-
Team Two
When you first navigate to the empty schedule tab, you are given the option to "Create" or toggle to the blue "Manage Games" tab and select "Upload Games." The CSV is provided below this option and can also be found here.
You simply have to download the CSV template, fill our the required schedule information and upload!
Each team on the schedule must match a team that has been imported into the Admin System under the "Teams" Tab. If you have not yet uploaded your teams for the event, please reference this article for further instructions. It does not matter which team is marked as the home team versus the away team. The division for each game will be assigned to the game automatically based on which division the two teams are assigned.
Reminder: Be sure to leave the ID column blank, unless you are trying to bulk-modify a schedule that was previously imported to the Admin System.
Adding Games Individually
In addition to importing an entire event schedule, you are able to manually add games. To do so, click the blue “Manage Games” drop down menu in the upper right corner of the dashboard and select “Add Games”. This will take you to a form where you can fill out the game information, as shown below:
Updating the Event Schedule
Schedule information (Field, Teams, Time) can be edited so that you can stay on top of any last-minute changes that happen before or on-site at an event. These edits will be visible to coaches on the EventBeacon app, keeping them in the loop. To do this, click the pen and paper icon to the right of the game you want to edit.
There will be some scenarios where data does not need to be edited, but removed entirely. You are able to select multiple games at a time and erase the data for that column by clicking the white box to the left of each game. Once you have selected the correct games, you can choose to remove them by clicking the trash icon as shown below:
Bulk Updating Schedule Information
Schedule information including fields, teams, and game times can be bulk updated through the admin system. To bulk update this information all you need to do is download the already uploaded CSV, edit any of the information (keeping the id column the same) you would like to update and re-import the CSV. You can download the available CSV by choosing the "Download CSV" option in the upper right hand corner of the dashboard.
Once all edits have been made to the CSV, you can choose "Manage Games" and "Upload Games" to download your updated schedule information.
Adding EventBeacon On-Demand Video
As an Event Administrator you have the option to upload your game film onto EventBeacon On-Demand. After the event, you are able to upload your event film through the schedule tab to correspond with the correct game. This help article will provide more information on the steps to uploading game videos to EventBeacon On-Demand.
You can edit any information about that specific game or access the EventBeacon On-Demand Link along with the team film link by navigating to "Add Video."
Why EventBeacon?
EventBeacon provides a superior event experience for both coaches and event administrators alike, while empowering student-athletes to take control of their recruiting experience. With access to all relevant student-athlete recruiting information in the app, coaches are able to efficiently and effectively evaluate players on-site. Similarly, event administrators are able to utilize the software to generate a coaches book in seconds, while also being able to make any roster or event changes immediately visible to coaches. The more efficient the coach’s experience, the more exposure for athletes, and the more exposure for athletes, the more successful an event.
