The EventBeacon Rostering Tool allows teams and athletes to roster for an event. Once an athlete registered for an event, they will show up in the event admin system and on EventBeacon. Event Administrators, club coaches, and athletes are provided with a streamlined, hassle-free way to roster for events that are partnered with EventBeacon.
This article will detail how an acceptable rosters must be formatted, what a CSV file is, and how to convert your file type to a CSV.
Formatting Your Roster
Our rostering technology is designed to read and pull data from CSV files (more on what a CSV file is in the section below. Any other file type will NOT be accepted. Be sure to create your team roster according to the roster template – this template is already a CSV file so there is no need to export or convert it!
What is a CSV file?
A CSV is a comma-separated values file, which allows data to be saved in a tabular format. CSVs look like a garden-variety spreadsheet but with a .csv extension. CSV files can be used with most any spreadsheet program, such as Microsoft Excel or Google Spreadsheets. They differ from other spreadsheet file types because you can only have a single sheet in a file, and you cannot save formulas in this format.
You can create spreadsheets and export them as CSV files using Microsoft Excel or Google Spreadsheets.
We require a CSV file such that your athletes’ data and information are cleanly formatted and easily readable. With practice and time, the rostering tool will save you and your team time and effort when rostering your team for future events.
Converting Your File to a CSV
If you have a file type that is not a CSV, you may be able to convert your file type without re-typing your team roster. The following covers converting from an Excel sheet, converting from a Google Sheet, and all other file types.
For an Excel file (.xls or .xlsx): You are able to convert the file type easily by navigating to File > Save As… > make sure that the File Format is changed to CSV > Save.
For a Google Sheets spreadsheet: You can easily export the document as a CSV by navigating to File > Download > Comma-separated variables (.csv).
For all other file types (PDF, Microsoft Word, image/JPG/JPEG/PNG, etc): You will need to transfer your roster information to a spreadsheet before you are able to download as a CSV. This is because text and data cells are not readable in these formats.
